Create a UPS Shipment window
A UPS shipment can be created from multiple places in the company file and contains all information needed to ship the package. This window is divided into 7 sections, each containing separate information. Not all fields are required by may need to be referenced.
Field Descriptions
Shipping From
This sections gives information related to where the package(s) are shipping from.
UPS Account
The default account will be displayed in this field automatically, if UPS Shipping has been setup. Click the arrow adjacent to this field to select another account. If you have another account that is not displaying in this field you will need to click the Settings button at the bottom left corner. This will open the UPS Shipping Setup - UPS Accounts window. Multiple UPS accounts can be entered in a company file.
Profile
A default profile for the UPS Account selected will be displayed automatically. Click the arrow adjacent to this field to select another profile. If you have another profile that is not listed in the select from list, click the Setting button at the bottom left corner to enter a new profile. Multiple profiles can be entered in the company file.
Company or Name
Enter the company or the name of the person sending the shipment.
Address
Enter the address of the company or persona sending the shipment. The address entered does not have to be the same used when creating the account with UPS.
City
Enter the city of the address entered above. The city entered does not have to be the same city used when creating the account with UPS.
State
Enter the state of the address entered above. The state entered does not have to be the same state used when creating the account with UPS.
ZIP
Enter the zip code of the address entered above regarding this shipment. The zip code does not have to be the same zip code used when creating the account with UPS.
Contact Name
Enter the name of the contact person sending this shipment.
Phone Number
Enter the phone number of the contact person sending this shipment.
Email Address
Enter the email address of the contact person sending this shipment.
Shipping To
This section requires information of where the package(s) are being shipped.
Card
Select either Card or Shipping From Address. If Card is selected a field will appear adjacent to the selection. Click the zoom arrow adjacent to this field to open the Select From List window to select the card being used. Once the card has been selected, the Shipping To information will automatically fill using the information entered in the card selected.
If you want to manually enter the shipping address select Shipping From Address and enter all required information.
Company or Name
Enter the company name or name of the person to receive package(s).
Address
Enter the address associated with the recipient of the package.
City
Enter the city associated with the address entered above.
State
Enter the state associated with the address entered above.
ZIP
Enter the zip code associated with the address entered above.
Country
Enter the country associated with the address entered above.
Contact Name
Enter the name of the person to be contacted regarding this shipment.
Phone Number
Enter the phone number of the contact person entered above.
Email Address
Enter the email address of the contact person entered above.
Residential Address
Select if this shipment is being shipped to a residential address.
Access Point
Ship to a UPS Access Point location
Select to make package collection or drop-off easier. When selected a Find Location button will appear. Click to open your browser to the UPS web site to assist you in finding the address information for the access location being used. Additional option, Deliver to Addressee Only will also become available for selection.
Direct Delivery
Deliver to Shipping To Address Only
Select to deliver the package to the address entered in the Shipping To fields.
Service and Billing
Shipping Service
Select from the list provided the shipping service being used for this shipment.
Description
Enter a description up to 35 alpha-numeric characters.
Select Carbon Neutral to let the recipient know that you are concerned for our environment and that you are supportive of UPS efforts to contribute to a cleaner environment or Saturday Delivery.
Bill Account
Selected UPS Account is the default account selected. If you are using a Third Party UPS Account for billing, UPS Account, ZIP and Country fields will appear. Enter the required information of the third party account.
Packages
Packages
Select the amount of packages in this shipment. If there is more than one selected the adjacent Viewing field will become available.
Viewing
This field is only available if there are more than 1 package in this shipment. Select the number of the package in the shipment to enter information in for each package. The plus and minus buttons become available to adjust the amount of packages in the shipment.
Measurement
Enter the measurement for each package.
Packaging Type
Enter the type of package for each package.
Weight
Enter the weight of each package.
Dimensions
Enter the Length, Width and Height of each package.
Confirmation
Select either No Delivery Confirmation, Delivery Confirmation, Signature Required, Adult Signature Required for each package.
Declared Value
Enter the amount declaring the value for each package.
Package Reference
Enter the reference number or bar code number for each package.
Estimate
Click to receive an estimate on the cost of this shipment. An estimate of cost, including a markup rate if entered will appear. Also, an option of Available Services and their cost becomes available. Click the down arrow to select.
Email Notifications
Enter up to 9 additional email addresses, 3 for each option.
Additional Email Addresses
Shipment/Shipping From/Shipping To
Enter up to 3 different email address for this shipment. When the shipment is sent the email addresses entered will receive a notification depending on selection made.
Delivery/Shipping From/Shipping To
Enter up to 3 different email address for this shipment. When the shipment is delivered the email addresses entered will receive a notification depending on selection made.
Exception/Shipping From/Shipping To
Enter up to 3 different email address for this shipment. If there has been a change in the original shipping or delivery schedules, the email addresses entered will receive a notification of the changes depending on selection made.
Settings
Click to make changes to enter additional UPS accounts and profiles. You can enter multiple accounts and profiles without a limit. The UPS Shipping process must be set up to enter additional accounts and profiles.
Shipments
Click to open the Shipping Manager window to view all shipments already recorded.
Create Shipment
Click to create a shipment. All information required needs to be entered. If there is an error in the verification process when creating a shipment a message will appear instructing you of the necessary changes needed. Once all required information has been verified, a message will appear giving you the option to open the Shipping Manager window. Click Ok to close the message.
Cancel
Click to cancel the shipment and close this window.
