Activity ID

The ID number of the activity you're viewing appears in this field. If you're creating a new activity, enter a unique ID number to assign to the new activity.

You can use numbers, letters and symbols in the activity ID number. If the first character you enter is a backward slash (\), the number won't be printed on MYOB AccountEdge forms.

If you're displaying an existing activity record, you can change the activity ID number.

Activity Name

The name of the activity you're viewing appears in this field. If you're creating a new activity, enter the name of the new activity.

Inactive Activity

Mark this option if you rarely use this activity and you don't wish to see it in selection lists. If you mark the activity as inactive, existing transactions won't be affected in any way and you'll still be able to enter new transactions for the activity if you wish.

When you print the Activities List, you have the option to omit inactive items.

Description

Enter a description for the activity.

Use Description On Sales

Mark this selection if you want this activity's description to appear in the Notes field of time billing invoices instead of the activity name.

This field appears only if you've selected Chargeable in the Status field.

Income Account

Enter the account you use for tracking the income you receive from billing for this activity.

A default account may appear in this field. If so, make sure the default account is the account you want to use.

This field appears only if you've selected Chargeable in the Status field.

Taxable When Sold

Mark this selection if you want to charge tax on the activity. (The tax code entered on the customer card will be automatically applied when this activity is used on a Time Billing sale.)

This field appears only if you've selected Chargeable in the Status field.

Unit Of Measurement

For non-hourly activities, enter the unit by which you measure your time for this activity. A common unit of measurement in time billing is an hour, which is the default entry, but you can use whatever unit you want. Some other units you might use are day, week or mile.

If you specified in the Preferences window that you enter time in special units of a certain number of minutes, the unit of measurement you're using is still hour.

Type

• Hourly: Mark this selection if you bill for this activity on an hourly basis. Even if you enter your time in six minute units, you still bill for this activity on an hourly basis.

• Non-Hourly: Mark this selection if you bill for this activity based upon some other unit of measure. You could set up an activity for making photocopies and bill your customers by the copy. In this example, photocopying would be a non-hourly activity.

Status

• Chargeable: Mark this selection if you want to include this activity on time billing invoices.

• Non-Chargeable: Mark this selection if you don't charge your customers for this activity, but still want to track the activity on activity slips. Non-chargeable activities can't be included on time billing invoices.

Rate

• Use Employee Billing Rate: Mark this selection if you want the billing rate that appears automatically for this activity on activity slips and time billing invoices to be the hourly billing rate you entered for the employee or vendor card.

• Use Customer Billing Rate: Mark this selection if you want the billing rate that appears automatically for this activity on activity slips and time billing invoices to be the hourly billing rate you entered for the customer card.

• Use Activity Rate: Mark this selection if you want the billing rate that appears automatically for this activity on activity slips and time billing invoices to be the rate you entered in the Activity Rate field of this window.

This field is available for hourly activities only.

Activity Rate __ Excluding Tax

Enter the amount you charge for one unit of this activity.

This field appears only if you've selected Chargeable in the Status field and Use Activity Rate in the Rate field.
