Budgets view



Account Number and Name

This field displays the number and name of the account.

Current Balance

This field displays shows the current balance of this account.

If this is an asset, liability or equity account, the amount shown here is the value of the account. If this is an income, expense, cost of sales, other income or other expense account, the amount shown here is the total of all activity with the account since the beginning of the current fiscal year.

If you want to view more information about the account balance, click the zoom arrow. The Find Transactions window will appear, listing the transactions that make up the current balance.

If you're viewing the equity account named Current Year Earnings, the current balance displayed is your company's year-to-date profit or loss amount.

Last Year column

This column displays the monthly balance for this account for each month of the last fiscal year. (Check the Company Information window for Current Fiscal Year and Last Month in Fiscal Year information.)

The list displays previous balances for this account. For asset, liability and equity accounts, these amounts are period-end balances; for income, cost of sales, expense, other income and other expense accounts, these amounts are the total value of each account's transaction activity.

Pre-conversion historical balances are entered in the History view of this window. This list is for your information only; use it to help set up your current budgets.

This Year column

This column displays the monthly balance for this account for each month of the current fiscal year. (Check the Company Information window for Current Fiscal Year and Last Month in Fiscal Year information.)

For asset, liability and equity accounts, these amounts are period-end balances; for income, cost of sales, expense, other income and other expense accounts, these amounts are the total value of each account's transaction activity.

Pre-conversion historical balances are entered in the History view of this window. This list is for your information only; use it to help set up your current budgets.

Difference column

This column displays the currency difference between the actual balance and the budget amounts for each month of the current fiscal year. If you make a change in a budget amount in the Budget column, the amount in this column changes.

The amounts displayed in this column are the same as appear in the `$ Difference' column in the Balance Sheet [Budget Analysis] report for Balance Sheet accounts and Profit & Loss [Budget Analysis] report for P&L accounts.

Budget column

Enter budget amounts for each month in this column. The amount you enter should be the expected activity for each month.

Be sure you properly indicate whether the amounts in this column should be positive or negative. "Positive" and "negative" may appear to mean the opposite of what you expect; for example, if you enter $100 for an expense account, you're indicating that you expect this account to cost you $100 for the month.

If you'd like to use a calculator, select the plus sign ("+"), the asterisk ("*"), the equal sign ("=") or the space bar on your keyboard to launch the Calculator window.

You can also use the Budget Shortcuts window (opened by clicking the Shortcuts button) to enter amounts in this column.

Shortcuts button

Click this button to open the Budget Shortcuts window, where you can quickly set budget amounts for all months in the current fiscal year.

New button

Click this button to begin creating a new account record.

OK button

Click this button to accept the entries you've made and close the window.
