Cards
To add a customer card
The Cards List window should be displayed.
- Click the New button to display the Profile tab on the Card Information window. (Profile view)
- Use the Designation list to indicate whether this customer is an individual person or a company.
- Enter the customer's name. If the customer is an individual, enter both a first name and a last name for the person.
- You can assign a card ID to the customer record if you like. Card IDs can be used to customize information on reports and to distinguish between customers who have the same name. The ID you assign to each customer must be unique; that is, the same ID can't be used for more than one card.
- Enter contact information for the customer, including the customer's address, a shipping address (if different from the customer's main address), phone and fax numbers, an email address and a World Wide Web URL. You can enter information for up to five addresses for each customer.
- In the Salutation field, enter a name or title you wish to use in the greeting of a personalized letter for the person or company whose card you're viewing. For example, if you want to greet a customer named Kara Watanabe as "Kara,' enter Kara in this field. The personalized letters you create for Kara Watanabe will begin with "Dear Kara'
- If you're entering information about a business and there's a particular person you work with there, enter that person's name in the Contact field.
- Click the Selling Details tab. (Selling Details view)
- Most of the entries in the Selling Details view are filled in for you automatically, using the entries you made in earlier steps in the Easy Setup Assistant. Make any necessary changes, and enter a tax ID number.
If you want to change the customer's credit limit or place the customer on a credit hold, click the Credit Limits and Hold button. (To set or change credit terms for a single customer)
- Review the fields on the Card Details and Payment Details views.
- The Card Details view allows you to include a picture of the customer in your records, write extended notes, assign identifiers to the customer and enter other information you deem important using custom fields and lists. (Card Details view)
- The Payment Details view allows you to specify the payment type used most often by the customer. If you select a debit card or credit card, you can enter detailed card information, as well. (Payment Details view - Customer)
When you're satisfied with your entries for this customer, click OK.
