To print Forms W-2 and W-3
- Choose W-2/W-3 in the Select Payroll Tax Form window. (To start working on a new payroll tax form)
- If you want to prepare and print new W-2 and W-3 form, click Display to open the Set Up W-2 Forms window. A series of windows and prompts will walk you through the preparation process. You will be able to display and print your completed forms when you have completed this process. (To set up Forms W-2 and W-3)
If you want to print a copy of a draft form that you have saved:
- Click Saved Forms and select the appropriate draft form from the list in the Saved Forms window.
- Click the checkbox next to the saved form that you want to print. (You may select only one form at a time for printing.)
- Click View to display the saved form in the Payroll Tax Form Viewer.
- Before you attempt to print, carefully review each form to make sure that the data it contains is accurate and complete. You won't be permitted to print official copies of any form until you have entered data in each field required on the report. (To link payroll category items to fields on a form)
- Click Next Step to print a copy of the form for your records ("My Copy"). An alert message will explain the steps you should follow to review and verify the data on your form before you print it.
- If you're sure the form is ready to print, click Agree return to the Payroll Tax Form Viewer, where you can print your copy of the form.
If you want to double-check your form before printing, click Double-Check to return to the Payroll Tax Form Viewer, where you can review the form and make any necessary corrections. Then repeat step 5 and click Agree when you're ready to print.
Important:
You can't eFile or print certified copies of any form until you've entered all required information
- Click Print to print your copy of the form.
- After printing your copy, click Next Step to print an official federal or state copy of the form.
- To close the Payroll Tax Form Viewer, click Yes in response to the prompt, "Did you complete processing this form?" This copy of the form will be marked as completed in the Saved Forms window.
If you want to save this copy of the form as a draft, click No in response to the prompt, "Did you complete processing this form?" This copy of the form will appear in the Saved Forms window, but will not be marked as completed.
