Prepare Electronic Payments window




Pay From Account

Select the MYOB AccountEdge account you want to use to pay the electronic payment.

Balance

Displays the current balance of the account entered in the Pay From Account field. If you wish to display the Find Transactions window to view more detailed information about the account, click the zoom arrow.

Select Payment By

Select the type of the payments you want to see displayed in the window.

Journal Memo

Enter a description of the transaction. This description will appear on various AccountEdge reports, as well as in the Cash Disbursements Journal.

Payment Number

When you begin to create a transaction in this window, this field automatically displays the next electronic payment (EP) number available. If you click this field, Auto # will be displayed. If you move the highlight to another field without entering a number here, the default electronic payment number will be displayed again.

If you choose to enter a number here, consider leaving the EP prefix assigned to the number, so it's easy for you to distinguish the transaction as an electronic payment transaction. If you choose to enter a number in the ID # field, the next time you record a Electronic Payment transaction, the ID # will automatically revert to the next available EP number; the number you entered earlier will be disregarded.

Date

Enter the date you are assigning to this group of transactions.

Entries displayed in the window are dated up to and including the date you enter here.

ID # column

This column contains the numbers that identify the transactions displayed in this window.

Date column

This column contains the dates that are assigned to the transactions displayed in this window.

Name column

Displays the name of the card that is assigned to each transaction.

Payment Type column

Displays the payment type used for each transaction.

Amount column

Displays the amount of each payment.

Status column

This column is blank before your click the Process and Record button, which sends all the transactions you marked for payment to the server for authorization and starts the electronic payment process.

After you click the Process and Record button, an Approved or a Declined status appears in this column for each transaction in the list. If a transaction is declined, you should verify all the information you collected from the vendor or employee before you reverse the transaction and handle the payment in a different way.

Two important notes:


Checkmark (Pay) column

Click in this column to indicate that a particular transaction should be included on the electronic payment; a checkmark will appear. Click the check mark to unmark the column if you decide that you don't want to include the transaction on the electronic payment.

Click the checkmark icon at the top of this column to mark all the items in the list. Click again to clear all marks from the Print column.

Get Update

Click this button to open the Online Error Notification window, where you can view a current list of transactions that were previously processed and approved but at some point in the processing/funding cycle have been rejected.

Record Only button

This Record Only button is used for a payment transaction to which the following has occurred:

  1. The transaction was Grouped with Electronic Payments.
  2. The transaction was marked to Process and Record in this window.
  3. The transaction received an Approved status.
  4. The transaction was rejected later; it appeared in the Online Error Notification window.
  5. The original transaction was reversed.
  6. The payment reversal (a negative number) appears in the Prepare Electronics Payment window.

Mark the transaction in the Check Mark (Pay) column and click this button to record the reversal and remove it from the list in this window.

Print button

Click this button to print the Unprocessed Electronic Payments report.

Journal button

Click this button to open the Transaction Journal window; the Disbursements view will be displayed.

Process and Record button

Click this button to send all the transaction you marked for payment to the server for authorization. All the marked transactions are recorded in your MYOB system, approved or not.

Cancel button

Click this button to clear the entries you made in this window and close the window.
