Pay Refund view



Account

Select the account you want to use to pay the refund.

The accounts in this list were assigned Account Type: Bank in the Profile view of the Edit Accounts window.

Note:  Choose your undeposited funds account for customer credit card payments and credits

Balance

This field displays the current balance of the account displayed in the upper left corner of the window. If you wish to display the Account view of the Find Transactions window to view more detailed information about the account, click the zoom arrow.

Check #

The next available check number for the account you've selected is displayed in this field. If you wish to use a different number, enter that number here.

If you click this field, Auto # will appear. Auto # isn't displayed once you enter a number in the field or move to another field.

If you're not writing a check, enter a word in the Check # field, for example, CASH or the abbreviation of a credit card company.

Note:  For a cash or electronic payment, you may want to replace the check number with letters or words

Date

Enter the date of the refund. Select the space bar if you'd like to enter a date using AccountEdge's Calendar (day selection) window.

Dates that occur before your conversion date or in a prior fiscal year can't be used.

Amount

Enter the total amount of the refund, or accept the default amount, which is the entire amount of the customer credit. If you choose to change the default amount, you can enter an amount less than the default amount only.

When you click Record to record this refund, the balance of the account displayed in the upper left corner of the window will be decreased by the amount you enter here.

Customer

This field displays the name of the customer whose customer credit you selected in the Sales Register window. This name can't be changed using this window; however, if you wish to view detailed information about the customer, click the zoom arrow to display the Profile view of the Card Information window.

Payment Method

Select the method of payment for the transaction, if you wish.

If you've selected a payment method for a customer using the Payment Details view - Customer of the Card Information window, the payment method will automatically be selected. You can change it, if you wish.

Details button

If you've entered a payment method in the Payment Method field, click the Details button to open the Applied Payment Details window and enter additional information about the payment.

If you've selected a payment method for a customer using the Payment Details view - Customer of the Card Information window, depending on the payment method selected, some details about the payment method will automatically be entered. You can change the details, if you wish.

If you subscribe to the MYOB Merchant Account Service, you can authorize the payment; click the Details button to open the Applied Payment Details window.

Payee

The customer name and address (Address 1, if you've entered multiple addresses for the customer) appears in this field. If you wish to use another address, click the search button to choose from the five addresses available for the card.

Memo

Enter a description of the transaction or accept the default description. This description will appear on various AccountEdge reports, as well as the Cash Disbursements Journal.

You can use the default description to remind you of the nature of the transaction.

Check Already Printed




Payment Notification Delivery Status

Enter the delivery status of the payment notification for this payment -- is it still To Be Printed, To Be Emailed, To Be Printed and Emailed, or has it been Already Printed or Sent. You can also click the search icon to display a search list of delivery statuses to choose from.

If you've selected a delivery option in the Payment Details view of the Card Information window for the customer, that option will display automatically.

When you print and/or email the payment, the status will change to indicate that you've printed and/or emailed the payment.

Rate button

This button displays the currency that is used for the transaction. Click the button to open the Exchange Rate window.

This button appears only if you marked the I Deal in Multiple Currencies option in the System view of the Preferences window.

Print button

Click this button to print a refund check.

Journal button

Click this button to open the Disbursements view of the Transaction Journal window. Recorded transactions can be found using this window.

Record button

Click this button to record the refund. The balance of the account displayed in the upper left corner of the window will be decreased by the amount you entered in the Amount field.

Cancel button

Click this button to remove all the entries you've made and close the window.
