To print Form W-3


Warning!
You must print Forms W-2 and W-3, and 1099 and 1096, before closing a payroll year

Note:  W-2 and 1099 information is tracked using the Current Payroll Year for your company file

The Set Up W-2s and W-3 window should be displayed.

  1. Select "W-3" in the Form field.


  2. If you wish, enter your optional control number and employer ID number in the fields at the top of the window.


  3. Enter the establishment number; other EIN information; contact person; and contact telephone number, fax number and email address to appear on Form W-3. Information entered in this window will be saved.


  4. Click OK to accept the entries you've made in this window. The Review W-3 Before Printing window appears.


  5. Choose to show all of your employees; you can select the employees whose information you want to include in the W-3 in the next step.


  6. Mark the employees whose information you want to include in the W-3 by clicking in the first column; mark and unmark employees. Click the gray box at the top of this column to mark all the employees in the list. Click again to clear all marks from the column.


  7. Use this window to review and change information about each employee you selected and mark employee status boxes that may apply.


    To review and change information about each employee, click the zoom arrow next to the name of the employee. This opens the W-2 Employee Information window. Any changes you make to the amounts in this window will be reflected on the W-2 forms and the Form W-3. Click the Recalc button to return the figures to the amount calculated by AccountEdge. You can also use this window to mark special employee status boxes that may apply. Click OK to return to the Review W-3 Before Printing window.
  1. Click the Advanced Filters button to open the Advanced Filters window.


    Using the Selected Form field near the bottom of the window, choose the form layout you want to print.

    Forms that don't meet government requirements won't be accepted
    Click OK to accept the entries you've made in this window and to return to the Review W-3 Before Printing window.
  1. Click the W-3 Info button to display the W-3 Information window. This window contains the amounts associated with each of the boxes on Form W-3. If an amount is incorrect, you can change it.


  2. Click the Print button when you're finished.


  3. After you've printed Form W-3, you should always make a backup of your AccountEdge company file.

    Once the payroll year is closed, detailed payroll information is no longer available and W-2 forms, Form W-3 and other reports can't be printed for that year. If you've made a backup, however, you can restore that backup and print the necessary reports.
