To record and redeem a gift certificate
- One time only: Create a liability account for tracking gift certificates. (To add an account)
When creating the account, be sure to:
- Select Credit Card in the Account Type field.
- Name the account something similar to Unclaimed Gift Certificates. You'll use this account to determine the value of unclaimed gift certificates.
- Record the sale of the gift certificate:
- Open the Receive Money window.
- Select Deposit to Account and enter your checking account in the Account field.
- (Optional) Enter or select the name of the person or company in the Card File purchasing the gift certificate in the Payor field.
- In the Account column, enter the liability account you created in step 1 for Unclaimed Gift Certificates.
- Enter the amount you received in the Amount column.
- Enter other details as needed, and then click Record.
- When a customer redeems the gift certificate, record the sale as you normally do. Note: When entering the sale, don't enter the gift certificate amount in the Paid Today field.
Notes:
A customer doesn't have a card
If you don't track sales using the Sales Command Center, you can redeem a gift certificate using the Receive Money window
- Pay for the sale using the gift certificate:
- Open the Receive Payments window.
- Select Deposit to Account and enter in the account field the liability account you created in step 1 for Unclaimed Gift Certificates.
- Enter other details as needed.
- Apply the payment to the sale.
- Click Record.
