Using the Company Data Auditor Assistant

The Company Data Auditor Assistant provides a high level integrity check of the data contained in your MYOB company file. This gives you and your accountant added assurance of the integrity of the data.

The Company Data Auditor can be a very useful tool at month-end. It provides an overview of data file information such as the last time you backed up or optimized the file; a review of all your accounts that can be reconciled and the last date each was; and a Transaction Review that complements your sales, purchases and inventory analyses, among other things.

There are four windows in the Assistant:

• The Company File Overview presents a compilation of basic information about your data file.

• All the accounts that can be reconciled, that is, accounts with the type of Bank or Credit Card, are listed in the Account Reconciliation Review.

• The Transaction Review checks all your transactions for a variety of criteria.
  
  Example: The review compares the total of all the balances from all your customer cards with the current balance of the linked receivables account and checks whether or not the two amounts match.

• The Tax Exception Review checks all your transactions, based on a variety of tax-related criteria, for the selected date range.
  
  Example: The review checks for any sales transactions in which the value of the tax is different from the calculated value.

The Assistant walks you through each section step by step. If you need to know more about a particular step in the Assistant, click the Help button at the bottom of the Assistant window.

The final results of this process (with the examples used above):

1. For each of the Review's criteria, an indication as to whether or not any exceptions were found (a question mark if exceptions were found; a check mark if none were found).
   
   Transaction Review Example: The customer balances do not match the linked receivables account balance. A question mark appears.
   
   Tax Review Example: Sales transactions are found in which the value of the tax is different from the calculated value. A question mark appears.



2. If there are exceptions, a link to a report detailing the exceptions is provided.
   
   Transaction Review Example: A link to the Receivables Reconciliation Exceptions report. As well as including the customer balances and the linked account balance, this report displays transactions that may have caused the out of balance status.
   
   Tax Review Example: A link to the Tax Amount Variance report. This report lists both the default and the entered tax code for each transaction.



3. When you click the Finish button in the last window (Tax Exception Review), a message appears giving you the option to print a summary report of the Company Data Auditor that you just ran. Click the Yes button if you want to print the Company Data Auditor Summary Report.
   
   Note: This is the only opportunity you have to print this particular version of the Company Data Auditor Summary report. It is not listed in the Index to Reports. If you run the Company Data Auditor another time, you can print the summary report for that session.
