To change information on individual W-2s (Preparer)


The W-2 Preparer window must be open.

  1. The W-2 Preparer window displays the W-2 forms you have set up in a grid format that resembles a spreadsheet. Any columns that need to be linked to payroll category items are highlighted in red. (To link columns in the W-2 Preparer to boxes on Form W-2)


  2. Click in the appropriate cell of the window's grid area to highlight the data you want to change. If the amount is incorrect, delete it.


  3. Enter the correct amount in the selected cell.


  4. If any columns in the display are not needed in your W-2s, you can use the Hide Columns option to remove these columns from the view. Data in hidden columns won't display or print on the completed forms.


  5. Mark any special employee status boxes (such as Third-party Sick Pay) that apply to individual employees.


  6. If you want to change or add company information that will appear on all W-2s or on the W-3, choose Control #, Company Info or W3 Information from the Edit menu. (To edit company information on Forms W-2 and W-3 or To set Control Number options on Form W-2 or To edit company information on Form W-3)
