Processing credit cards (MYOB Merchant Account Service)

One part of MYOB Business Services is the MYOB Merchant Account Service. Using this service, you can accept and process the credit card payments you receive from your customers over the Internet using MYOB AccountEdge. You can use American Express, Discover, MasterCard and Visa credit cards.

Note:  True debit card payments can't be processed by the MYOB Merchant Account Service

Entering customer credit card information

Customer credit card information will be entered in the Applied Payment Details window. You'll enter a Payment Method in any of the windows where credit card payments can be entered:

You'll then click the Details button to open the Applied Payment Details window.

Note:  Choose Group with Undeposited Funds for customer credit card payments and credits

Note:  The Bank Register can't be used to enter MYOB Merchant Account Service transactions

Update Customer Card with Payment Details

In the Applied Payment Details window you'll find an option to Update Customer Card with Payment Details. When you select this option, the information you enter in the window will be used to automatically update the information in the Payment Details window of the customer's card. The information is updated when you click Authorize or OK. Using this option, you'll always have the latest credit card information for your customers.

Authorize button

You'll use the Authorize button located in the Applied Payment Details window to send the customer credit card payment information over the Internet for processing. You'll then receive a message advising you that the payment was approved or declined.

When you click the Authorize button the payment transaction is also recorded. (In the Sales window -- New Invoice or New Order -- both the payment transaction and the sales transaction are recorded.)

You'll find the Authorize button by clicking the Details button in any of the following windows:

If you wish, you can set up your company file so that the Record button can be used to both record and authorize an MYOB Merchant Account Service payment. Find this option by choosing Setup on the menu bar > Credit Card Processing > Set Up Credit Card Processing > Send Credit Card Payments for Authorization Using the Record Button.

AVS -- Address Verification Service

This service will verify that the purchaser's address matches the address of the card holder. MYOB Merchant Account Service will match the entries of the Address (AVS) and ZIP (AVS) fields entered in the Applied Payment Details window with the cardholder's address.

The lack of a match does not stop the transaction from processing, but it can alert you of a potentially fraudulent transaction.

CVV2 -- Cardholder Verification Value 2

The CVV2 is a unique three-digit code on the credit card. The card validation number is printed in the signature area on the back of Visa, MasterCard and Discover cards. American Express shows the number above and to the right of the card number on the front of the card.

This service will verify that the code is correct.

A purchaser who has only the normal credit card number, may not have the credit card in his/her possession, indicating a potentially fraudulent transaction.

Handling declined credit card transactions

A credit card payment authorization can be declined for many reasons. An invalid card number or card name are examples.

A credit card payment that has been processed for authorization, whether accepted or denied, has also been recorded in your MYOB AccountEdge company file.

How you'll handle a declined credit card transaction depends upon whether your transactions are changeable or unchangeable. (Choosing changeable or unchangeable transactions)

If your transactions are changeable, after a credit card payment has been denied you'll edit the payment details or delete the payment and enter a new one, if you wish.

If you transactions are unchangeable, you'll reverse the payment and enter a new one, if you wish.

Voiding credit card payments

Payments authorized by the MYOB Merchant Account Service can be voided before the time allotted for voiding transactions has expired. That is, the transaction will be stopped before processing is complete.

You may want to void a transaction, for example, if a customer decides against making the purchase, but you have already received authorization for the transaction.

You'll know a transaction has been authorized when you see the Authorization Code and Trace ID in the Applied Payment Details window. You'll also see that the Authorize button has been changed to a Void Authorization button.

If you void the transaction before the set time allowed for voiding, the transaction will be stopped, and it won't affect the customer's charge card records. The AccountEdge payment transaction will be reversed whether your transactions are changeable or unchangeable. (Choosing changeable or unchangeable transactions)

Printing receipts

You can print a Credit Card Receipt after a credit card payment has been approved. You'll simply click the Print button in the Processed Payment Receipt window.

Handling chargebacks

A chargeback is a transaction that is initiated when a customer disputes a credit card charge and refuses to pay the credit card company for the charge. The credit card company then denies payment to the credit card processor who handled the transaction. The processor will then deduct the disputed amount from the merchant's account. Holding credit card payments

If you take orders and hold the payment until the item ships or the service is completed be sure to mark the option to Update Customer Card with Payment Details. When you mark this option the credit card information updated in the Payment Details view of the Card Information window will hold the credit card information until you're ready to record the sale.
